Executive Assistant to the Chief Operating Officer
The Taproot Foundation is seeking an experienced, full-time Executive Assistant to the Chief Operating Officer.
Key Responsibilities
The Executive Assistant will be the COO's partner and most frequent point of contact. He or she will be responsible for supporting the COO to ensure the seamless execution of his overall responsibilities. As such, the successful candidate will manage the COO's calendar, travel itineraries, phone calls, general correspondence, and tracking of organizational goals and challenges.

This position requires outstanding communication, interpersonal and organizational skills, initiative, self-motivation, sound judgment, discretion, respect for confidentiality, ability to remain calm in a fast-paced environment, and a commitment to providing professional, customer-focused service. An ideal candidate will have a minimum of five years administrative experience supporting executive management within an organization and a bachelor's degree.

Key Responsibilities
The Executive Assistant will be the COO's partner and most frequent point of contact. He or she will be responsible for supporting the COO to ensure the seamless execution of his overall responsibilities. As such, the successful candidate will manage the COO's calendar, travel itineraries, phone calls, general correspondence, and tracking of organizational goals and challenges.
Specific responsibilities include:
- Take full responsibility for COO's schedule, correspondence, travel, and internal and external relationship management
- On behalf of the COO, respond to phone, written and email inquiries from potential partners and funders. Draft correspondence and set up external meetings on behalf of the COO.
- Monitor reports detailing success towards hitting organizational goals and milestones. Proactively identify other internal or external problems. Solve or bring issues to the attention of the COO as appropriate.
- Establish strong working relationships throughout the organization. Support COO in providing staff with open access and support; solve problems directly when possible.
- Anticipate and proactively address other needs of the COO as appropriate to further his efficiency and effectiveness.
- Coordinate and schedule staff meetings and reporting. Lead planning and executing of quarterly management team meetings and annual all-staff retreats
- Provide support to the Vice President of National Expansion and West Coast Executive Director as time permits

- Exceptionally organized and detail oriented
- Strong interpersonal skills: high-energy, outgoing personality, and a good sense of humor
- Highly professional demeanor
- Exceptionally quick learner
- Proficient in Microsoft Office applications and basic database administration
- Demonstrated interest in the nonprofit sector through volunteering or previous work experience
- BA / BS or equivalent work experience
- 5+ years of professional experience as assistant to CEO or VP-level executive in a highly professional and dynamic organization or similar professional experience as required
